Summary

A list of all current meetings, and the expectations from attendees/organizers of these meetings.

The current meetings we have are:

  • Full project meetings: Biweekly at 14:00 WAT on Wednesdays.
  • Data Platform and Harmonization Working Group meetings: Biweekly at 14:00 WAT on Thursdays.
  • Open Science and Capacity Building Working Group Meetings: Biweekly at 14:00 WAT on Thursdays. It alternates on the week the Data Platform and Harmonization Working Group meetings does not hold.
  • Coordinators meeting: Biweekly at 16:00–17:00 WAT on Tuesdays.
  • Quarterly meetings — partners and steering committee: 3 months intervals.
  • Coworking calls for anyone who would like to attend: Every week, 13:00 WAT on Wednesdays.
  • Annual in-person meetings - announced separately.

What needs to be done?

  • Collate all communication channels.
  • Create a central reference point - a GitHub page or section on a page - to find them.
  • Full information on who attends these meetings, and the optionality of it should be provided.
  • Provide a participation guideline:
    • Information on what is expected of members when participating.
    • Documentation? Policy?
      • Data sharing agreement: Miranda leading a WG
        - [ ] A draft for input will be opened for inputs
      • Guideline for budget
        • What is included and not included
      • What is the reporting process?
        • Templates to use
        • Reporting process
          • How do partners report?
          • What are general timelines?
          • Where are they stored?
          • Where are the templates?
